Understanding the Visibility of Launch Summary Workflows

Launch Summary Workflows and Privacy Assessments (like DPIA or LIA) are added to a launch using the + Workflows drop-down menu in the Review section.

Understanding which workflows appear in this drop-down, or whether they are shown by default, depends on the interaction of three key configuration points.

1. Criteria for Accessibility

The accessibility of a Launch Summary Workflow — meaning, whether it is even eligible to be added to a launch — is determined by two primary criteria.

Governing CriteriaDescriptionKey Configuration
A. Launch Type ConfigurationThis setting acts as the maximum permission for launch summary workflows allowed for a specific Launch Type.

"No" (Do not customize) ⇒ The Launch Type does not impose a restriction.

"None" ⇒ No launch summary workflows are accessible for this Launch Type.

B. Workflow Visibility ConditionThis setting determines if the launch summary workflow is relevant to the current launch, acting as an eligibility filter.

"Always" ⇒ The launch summary workflow is always eligible.

"Conditional Logic" ⇒ Eligibility depends on criteria related to the launch (e.g., Data Spec responses, product, component, labels).

Note:

  • Only Published Launch Summary Workflows are considered candidates for display.
  • Launch Type version dependence: A launch is permanently tied to the Launch Type definition (version) that existed at the moment the launch was created. Any subsequent changes to that Launch Type's configuration will not affect existing launches; only the configuration at the time of creation will be used to determine workflow accessibility

The snapshot below shows the Launch Workflows section in Launch Type configuration. This configuration will result in only the AI Summary possibly appearing in the Review section in the launch summary web page (see the next two sections for more details that determine the visibility).

2. Visibility Matrix: When is a Launch Summary Workflow Accessible?

The table below details when a Launch Summary Workflow is considered Accessible (eligible to be manually added via the drop-down, or automatically displayed).

3. Determining Default Display

Once a Launch summary workflow is determined to be Accessible based on the criteria above, a third setting on the workflow controls whether it is displayed automatically or requires manual selection.

The snapshot below shows the checkbox that controls if the workflow is automatically visible in review section of the launch summary web page, subject to the accessibilty criteria outlined earlier:

Workflow SettingCheckbox StatusResult when Launch summary workflow is Accessible
Show on Launch Summary by defaultChecked (Yes)The Launch summary workflow is automatically displayed in the Review section when the launch is created.
Show on Launch Summary by defaultUnchecked (No)The Launch summary workflow is not automatically displayed in the Review section, but it is eligible to be manually added using the + Add Workflows drop-down.
