Google Workspace is where many product and engineering teams draft their PRDs, specs, and design documents in Google Docs, collaborating in real time across an organization. Google Docs is often the first place a new feature, project, or initiative is written down.
If your team uses Google Docs to document new features, projects, or initiatives, the TerraTrue integration ensures that your privacy reviews are automatically initiated at the right time, minimizing manual steps and keeping your privacy program seamlessly connected to your product development process.
How does the Google Drive integration work?
The TerraTrue Google Drive integration creates a direct and automated connection between your Google Docs and TerraTrue launches. The primary goal is to allow your product and engineering teams to trigger a privacy review launch directly from a Google Doc — without leaving Drive.
TerraTrue watches a shared Drive that you connect. When a Google Doc in that Drive is marked ready for review using a TerraTrue Drive label, TerraTrue automatically creates a launch and begins the privacy review.
What are some things I can do with the Google Drive integration?
• Automatically trigger launches from Google Docs. Apply the TerraTrue Drive label to a Doc in the connected shared Drive and set its Status to Ready. This initiates a TerraTrue launch and begins a privacy review immediately.
• Synchronize core information. The new launch automatically inherits the Google Doc’s title, and a link to the Doc is added to the launch. A PDF snapshot of the Doc is attached to the launch for reference.
• Auto-generate the launch description with AI. TerraTrue AI summarizes the linked Google Doc and pre-fills the launch description with that summary, so reviewers start with context instead of a blank field.
• Add context for AI-powered suggestions. The PDF snapshot transferred from Google Drive can be used as context for AI-powered suggestions in your launch workflows, speeding up completion and review.
• Keep your Google Doc updated. Once the launch is created, TerraTrue writes the launch link back into the Doc’s TerraTrue label, so anyone working in the Doc can jump straight to the review.
• Route launches to the right place. Configure which product (and, if your organization requires it, which launch type) integration-created launches are filed under.
Setting Up the Google Drive Integration
Setting up the TerraTrue Google Drive integration requires actions in both Google Workspace and TerraTrue.
Step 1: Prepare your Google Workspace
You will need a Google Workspace administrator to complete this step.
Create the TerraTrue Drive label
In the Google Admin console (Drive and Docs > Labels), create a label named TerraTrue with the following fields, then publish it so it is available in Drive:
• A Status selection field that includes a Ready option. Setting this option is what triggers a launch.
• A Link text field, which TerraTrue uses to write the launch link back onto the Doc.
Create the dedicated integration account
Create a dedicated Google Workspace user account named terratrue-integration. TerraTrue strictly verifies the connected account during setup — the integration must be authorized as this terratrue-integration account, and any other account will be rejected.
Share the shared Drive
Place the Google Docs you want reviewed in a shared Drive, and share that shared Drive with the integration account. Grant at least Content Manager access so TerraTrue can read the Docs, export PDF snapshots, and write the launch link back into the label.
Note: Using a dedicated account and sharing only the relevant shared Drive(s) with it keeps the integration’s access scoped to exactly the content you intend to review.
Step 2: Connect TerraTrue to Google Drive
1. Log in to TerraTrue and navigate to Org Settings > Integrations > Google Drive.
2. Click the Enable Integration toggle, then click Connect.
3. You will be redirected to Google to authorize the integration. Sign in as the designated integration account from Step 1 and grant the requested permissions.
Note: You must authorize as the terratrue-integration account. TerraTrue strictly checks the connected account's username, so if you sign in as any other user the connection is rejected and you'll be prompted to reconnect
4. After you authorize, TerraTrue automatically verifies the connection — confirming it can access the shared Drive and read the TerraTrue label. If verification fails, TerraTrue shows you what to fix (for example, the shared Drive has not been shared with the account, or the TerraTrue label cannot be found).
Step 3: Configure launch settings
1. Choose the product that integration-created launches should be filed under.
2. If your organization requires a launch type, also select the launch type to use.
Note: If your org setting requires a launch type and one is not configured here, launches will be created using your organization’s default launch type.
3. Click Complete Setup. TerraTrue begins watching the connected shared Drive for changes.
Using the Google Drive Integration
Create a launch from a Google Doc
1. Open a Google Doc in the connected shared Drive.
2. Apply the TerraTrue label and set its Status to Ready.
3. TerraTrue detects the change and automatically creates a launch. Within a moment, the launch link appears in the Doc’s TerraTrue label Link field.
Review a launch created from Google Drive
• Click the link in the Doc’s label, or find the launch on the Launchpad.
• When opening a launch created via the Google Drive integration, you will see that the Google Doc’s title was copied to the launch, a link to the Doc appears in the Links section, a PDF snapshot of the Doc is attached, and the description was pre-filled with an AI-generated summary that reviewers can edit
Note: TerraTrue creates one launch per Doc. Re-editing the Doc or setting Status to Ready again will not create a duplicate launch.
Security Considerations
The Google Drive integration connects using Google OAuth 2.0, authorized as a single designated Google Workspace account that you control. Because the integration acts as that account, it can only access the shared Drives and files shared with it — so you decide exactly what TerraTrue can see by scoping what you share with the account.
TerraTrue uses the granted access to read documents in the connected shared Drive, export PDF snapshots, read the TerraTrue label definition, and write the launch link back into the label. The OAuth credential (refresh token) is stored encrypted, is never displayed in the TerraTrue UI, and is never returned to your browser. You can revoke TerraTrue’s access at any time from the integration account’s Google security settings.
