How do I use internal surveys?

Internal surveys are powerful, customizable workflows that help you gather information from people inside your org. Use them to learn about your teams’ data and privacy practices — like what types of data a team is collecting, or which cookies your org is using across web pages. Like third-party assessments, internal surveys are invitation-based workflows — meaning they're accessed through a secure invitation link sent directly to a user or group of users. You can create, view, and manage your internal surveys at the internal surveys page.

Creating an internal survey

  1. Visit Workflow Library > Internal Surveys and click Create New to surface the new-workflow modal
  2. Name your survey and select the Internal survey radio button
  3. Click Confirm to enter the workflow builder
  4. In the Overall Configuration section on the right side of the page, ensure that the Internal survey button is selected
  5. Use the workflow builder to configure your pages and questions
  6. When you've finished, click Publish, or click Save Progress to save a draft of your survey
  7. Your survey will appear in Workflow Library > Internal Surveys

Sending an internal survey

To share an internal survey with users in your org, you'll need to create an invitation. Invitations can contain one or more surveys, and can be sent to one or more users using a secure link.

  1. In Workflow Library > Internal Surveys, click on a published internal survey, go to the invitations tab, and click Create Invitation 
  2. From the dropdown menu, select one or more internal surveys to add to your invitation
  3. Click Start
  4. Use the Collect Responses modal to add users to your invitation. (Note that internal surveys can only be sent to users in your org. To collect responses from users outside your org, create a third-party assessment.)
  5. Optionally, add a message for the survey's recipients. The note will appear in the body of the automated email that each invited user will receive. This note will be seen only by those users, and only in the email itself.
  6. Click Send to immediately send your invitation to the email inbox of each user you've listed. If you prefer to share the link directly, select the Copy Link tab, copy the link, then click Done.

Managing responses to an internal survey

You can view, manage, and edit your org's existing internal-survey invitations on the internal surveys page.

Viewing responses

  1. Visit Invitation Workflows > Internal Surveys
  2. From the table, find the desired internal survey and click View Responses
  3. From the dropdown menu, select the user whose response you'd like to view

Locking and unlocking responses on an existing internal survey

By locking responses, you prevent any users with an invitation link to your internal survey from adding new responses or modifying their existing responses.

  1. Visit Invitation Workflows > Internal Surveys
  2. From the table, click the title of the desired internal survey
  3. In the upper-right corner of the page, toggle on the Lock Responses switch
  4. To unlock responses and re-enable users to respond to the survey, toggle off the Lock Responses switch

Adding users to an existing internal survey

  1. Visit Invitation Workflows > Internal Surveys
  2. From the table, find the desired internal survey and click Send Invite
  3. Use the Collect Responses modal to add users to your invitation. (Note that internal surveys can only be sent to users in your org. To collect responses from users outside your org, create a third-party assessment.)
  4. Click Send to immediately send your invitation to the email inbox of each user you've listed. If you prefer to share the link directly, select the Copy Link tab, copy the link, then click Done.

Deleting an internal survey

Deleting an internal survey will permanently delete the invitation and all responses associated with it, but will not delete any of the underlying workflows that you've packaged into that invitation. To delete those workflows, visit your org's workflow library.

  1. Visit Invitation Workflows > Internal Surveys
  2. From the table, click the title of the desired internal survey
  3. Select the three-dot menu at the top-right of the page, and click Delete
  4. In the dialogue box, click OK to permanently delete the invitation and all of its responses
